Club Bookings

Hardwick Sports and Social Club are responsible for letting of the Pavilion. Please enquire at the Club, telephone 01954 210110. A lettings diary is kept at the bar.

The Pavilion is available to let as follows:

1. Non-commercial use by residents, clubs or societies of Hardwick during weekdays and evenings when the Sports and Social Club is closed. Use the attached Agreement and Conditions. Charges are £12.50 per hour for the clubroom and £7.50 per hour for the Ken Turner room. A cash deposit of £150 may be required as security against damages or cleaning costs before keys are released.

2. Sports and Social Club members’ functions and sports club meetings and events. These are held by arrangement with the Club Committee and may be free of charge, e.g. for sporting fund raising purposes, so long as Club members are not excluded. The Committee will occasionally allow members in good standing to use the Club for private parties for which a £150 fee is charged.

3. Persons that are not residents of Hardwick or lettings for commercial business purposes by arrangement with the Club Committee

The Club will normally open from midday on Bank holidays and other days e.g. Christmas and New Year as displayed on notices

Conditions of Hire

1. The Pavilion is strictly a no smoking building when not in use as a Sports and Social Club. In the event of fire alarms being activated due to smoking your deposit will be retained.

2. If any damage is sustained to the building, fixtures or fittings it must be reported to the Bar Manager at the end of each letting and you will be charged for any necessary repairs. If the building is left unclean and it is necessary to engage a cleaning contractor the costs incurred will be charged and recovered from you. Cleaning materials are provided in the kitchen area and the building should be left in a clean and tidy condition at the end of the hire period).

3. Do not adjust the heating controls without the permission of the Steward.

4. Under no circumstances must you, your guests or anyone providing a service at your function (e.g. disc jockey) drive any vehicle onto the grassed area or the slabbed area to the front of the Pavilion. All vehicles must be parked in the car park from where unloading must take place. If any vehicles are observed on the grassed or paved areas you will be asked to leave the Pavilion immediately, together with your guests or anyone attending the function. You will also be charged for any damage caused as a result of this condition being breached.

5. All rubbish is to be taken away - refuse sacks are provided in the kitchen cupboard under the sink and wheelie bins for disposal of refuse provided outside.

6. Please do not stick balloons, posters etc to the walls or attach notices to doors using drawing pins. Blue tack onto glassed areas is acceptable but must be clean afterwards.

7. Keys will be available thirty minutes before the hiring time and should be returned as soon as possible after the hiring time has ended. If you wish to have the keys in advance of this then the hiring time commences from that time until the end of the booked time.

8. If you are issued with keys and/or security alarm codes you undertake not to copy them or disclose them to anyone else without permission and you will notify the Steward if you believe the Pavilion’s security might be compromised in any way. You will turn off lights, lock up, set the alarms and leave the Pavilion secure if it is your responsibility to do so.

9. You should consider taking out insurance for yourself in the event of any accident. The Parish Council and the Sports and Social Club have public liability insurance but this cover will probably not be adequate for yourself in many eventualities.

10. A first aid kit is provided in the kitchen area.

11. Should any item of china be broken a charge of £1.50 will be made.

12. The premises are not licensed, except when operating under the Sports and Social Club’s registration certificate, and therefore you must not sell alcohol on the premises. You should note that it is an offence to provide alcohol to anyone below eighteen years of age.

13. A guest list is required for private member’s parties held in the Club.
